Should a team withdraw after the closing date, there will be a fine of £100 for every planned fixture that is missed.
The schedule for the competition is released on the morning of the competition to allow for any last minute dropouts. There may be a delay in the schedule due to redrawing the pools. Teams will be given a copy at the captains/ coaches briefing.

Squad Declarations and Team Sheets
Squad Declarations
Players who wish to be eligible for selection for a team must apply to join, and be accepted into, the team’s squad on BUCS Play by 08:30 Wednesday 11th May. No new names can be added on the day. Instructions on how to do this can be found here.
Please note this is the Team that is entitiled (for example) 'Bristol Rugby 7s Trophy (Women's)' and not your usual weekly squad.
Team Sheets
Each team is required to complete a team sheet listing their 12 chosen players for the tournament from those listed in the squad declaration on BUCS Play. The team sheet can either be emailed to [email protected] in advance of the event, or brought to registration on the day.
In accordance with REG RUS 2.4.5 Individuals are not permitted to be named on a team sheet, or play, in both the Championship and the Trophy in the same season. Therefore anyone who was listed on a Team Sheet from the Championship event on Wednesday 27th April will not be permitted to play in the Trophy event.

Plate
Timetable permitting we will be hosting a plate tournament for those teams that do not progress through to the knockout stages.
Changing Rooms
There will be 10 changing rooms available at the Club House. These will be split into 6 Male and 4 Female rooms. Please note that due to the amount of teams, we will not be able to give each team their own changing room. Please do not leave valuables in the changing rooms, as these will not be locked. We advise all players to keep belongings with them at all times.
Food
Food will be available to purchase from the clubhouse.
Dog Policy
West Park Leeds operate a no dog policy to ensure that the safety of the players are put at the forefront. If you travel with your dog there is a nearby park where you can take your dog for a run around before securing them back in your car, with the window open. (Golden Acre Park) just 5 minutes down the road or the field next to the Rugby Club.
Spectators
Spectators are welcomed at this event, we ask that spectators watch from behind the fences where applicable.
There is no charge for spectators and we are not selling tickets.
Clubhouse - Upstairs
All players are requested to be respectful of the club and to change into clean clothing prior to entering this area. The staff will politely ask players to adhere to this in line with the club policy.
Lift & Accessibility
Parking
There are plenty of car parking spaces, however, if you are arriving by coach then please park by the second team pitch in the area marked coaches. Please do not park in the Ambulance bay but leave this space clear for access. There are a number of disabled parking bays at the front of the club house.
Captains Pack
Each team will receive a captain’s pack which will include a timetable, venue plan, rules and regulations and general event information.
